2Personal Information We Collect
The categories of personal information we collect and process are described below. Categories are grouped by their source and the purpose for which they are used.
2.1 Account Information: first name, last name (optional), email address, hashed password, account creation date, language and interface preferences.
2.2 Google Sign-in Information: if you choose to sign in with Google, the name, email address, profile picture URL and OAuth subject identifier provided by Google.
2.3 Amazon Connection Information: for each Amazon Selling Partner account you connect, the refresh token issued through LWA (Login with Amazon), seller ID, authorized marketplace IDs, and authorization timestamp. Refresh tokens are stored in encrypted form.
2.4 Amazon Inventory and Business Information: commercial data such as SKU, ASIN, product title, stock quantity, price, listing status and category. This information is not directly personal in itself, but may be personal information when combined with the seller account it relates to.
2.5 Amazon Buyer Personal Information (Buyer PII): buyer name, delivery address and phone number, obtained through the Amazon Selling Partner API with a Restricted Data Token, and only for orders the seller chooses to send to a partner warehouse. We do not store buyer email addresses or tax registration numbers. Special handling rules for this category are described in Section 4.
2.6 Billing and Payment Information: the service does not currently take payments, so we do not collect card data or payment details. When paid plans are introduced, card data will be handled by a PCI-DSS compliant payment processor and this policy will be updated before that happens.
2.7 Usage and Device Information: IP address, device and browser information, session identifier, pages viewed, searches, error reports and session duration. This is used to operate the service, measure performance and troubleshoot.
2.8 Support Communications: content of any email or support request you send us, attachments and correspondence.
3How We Use Personal Information
We use personal information for the following business and commercial purposes:
- Creating and securing your account, authenticating you and maintaining sessions.
- Providing the OttoCentral service, operating the Amazon SP-API integration, and displaying inventory, orders and pricing information.
- Processing payments, generating invoices and maintaining accounting records as required by law.
- Handling Amazon Buyer Personal Information solely for the purpose described in Section 4 (creating the shipment and shipping label for orders you send to a partner warehouse).
- Measuring service quality, diagnosing errors and improving the service.
- Detecting and preventing fraud, abuse and security incidents.
- Responding to your questions, complaints and support requests.
- Complying with legal obligations and responding to lawful requests from courts, regulators and other authorities.
- Sending product updates, announcements or marketing communications, where you have consented and consistent with applicable law (including CAN-SPAM).
4Amazon Buyer Personal Information
Amazon Buyer PII obtained through the Amazon Selling Partner API is handled in accordance with the Amazon Selling Partner Data Protection Policy. We retrieve it only when the seller starts sending a specific merchant-fulfilled order to a partner warehouse that runs Skuload, our warehouse management software, and we use it only to create the shipment and shipping label for that order. It is transferred to Skuload for the warehouse operator, and the carrier selected for the order receives the delivery details it needs for the label. Sellers do not see buyer contact information in OttoCentral.
We do not use Amazon Buyer PII for marketing, analytics, profiling, ad targeting, or sale to third parties.
Buyer PII is deleted automatically at the latest thirty (30) days after it reaches us, in both OttoCentral and Skuload. It is deleted earlier when the order is cancelled, and within 48 hours when you disconnect a marketplace or close your account in OttoCentral. If you instead remove OttoCentral's authorization in Amazon Seller Central, no new data arrives and the buyer PII we already hold is deleted on the 30-day schedule. You can also ask us to delete a specific buyer's data sooner; such a request is completed within 30 days at the latest. This is consistent with the Amazon Data Protection Policy.
Buyer PII is protected with the technical controls required by Amazon, including encryption in transit and at rest, principle-of-least-privilege access, access logging, network segmentation, and secure key management.
6Data Retention
We retain personal information only as long as necessary for the purposes described in this policy and to comply with our legal obligations.
| Category | Retention |
|---|---|
| Account information | For as long as the account is open. You can close your account yourself in Account settings, or ask us to close it by email; we verify your identity before closing it. A closed account can be reopened for 30 days; after that, your account information is deleted from active systems. Automated backups roll over on a 7 day cycle. |
| Amazon connection information (including refresh token) | While the connection is active; invalidated immediately on revocation, deleted within 30 days. |
| Amazon Buyer PII | At most 30 days from the moment the record reaches us. A job runs every day and deletes records whose deadline has passed. Deleted earlier when the order is cancelled, and within 48 hours when you disconnect a marketplace or close your account. If a record is under legal hold, it is kept until the hold is lifted and deleted within 7 days after that. |
| Billing and payment records | As required by applicable US tax and accounting law (generally 7 years). |
| Usage and device information | 12 months while identified; may be retained indefinitely thereafter in aggregated/anonymized form. |
| Support communications | 24 months after the request is closed. |
| Records of lawful requests | As required by applicable law and applicable statutes of limitation. |
How we delete: deletion means the record is removed from the live database, not merely hidden. Buyer PII is stored encrypted; the data key is wrapped by AWS KMS, so a copy without the key is unreadable. Deleted records may survive for a limited time in encrypted database backups: automated backups are kept for 7 days in the us-east-1 region (Virginia, USA), with an encrypted copy in the us-west-2 region (Oregon, USA) that also expires after 7 days, and manual snapshots taken before maintenance are kept for at most 7 days. No restore is performed to recover deleted records.
Access records: every read, export and deletion of buyer personal information is written to a separate access log (who, when, which record, for what purpose). These records contain identifiers only, never the personal data itself, and are kept for one year.
7How We Protect Personal Information
We take reasonable technical and organizational measures to protect personal information against unauthorized access, disclosure, alteration and destruction.
7.1 Technical Measures: TLS 1.2 or above in transit; AES-256-based encryption at rest; sensitive fields such as refresh tokens and buyer data encrypted with a data key that is wrapped by AWS KMS; salted Argon2/Bcrypt hashes for passwords; role-based access with the principle of least privilege; centralized monitoring of access and event logs; regular security patching; backup and disaster-recovery procedures.
7.2 Organizational Measures: confidentiality obligations for staff; documented authorization for individuals granted access; contractual data-protection undertakings with sub-processors; a documented incident-response plan with a named point of contact.
7.3 Security Incident Notification: If we become aware of a security incident affecting personal information in a way that triggers a legal notification obligation, we will notify affected individuals and the appropriate authorities in accordance with the applicable US state laws.
9Sub-Processors
We rely on the following sub-processors to deliver the service. This list is kept current; before adding a new sub-processor we update this policy first.

- Amazon Services LLC (Amazon SP-API, account data and Buyer PII)
- Google LLC (Sign in with Google, if the user chooses this option)
- Google LLC (Google Workspace: hosts our email inbox, where support emails and other messages you send us arrive)
- Amazon Web Services, Inc. (Amazon SES, transactional email delivery)
- Cloudflare, Inc. (DNS and traffic delivery for ottocentral.com and the application; sees connection metadata such as IP address)
- Skuload (warehouse management, only when a user explicitly authorizes the integration)
- Partner warehouse operators that run Skuload (only the order and delivery information needed to pack and ship the orders a seller sends to their warehouse, under a data processing agreement)
- Shipping carriers (only the delivery information needed to produce a label, and only for the carrier the seller selects for that shipment)
